Five seats for the people who own your risks; not everyone in the company needs one. Fifteen vendors and five seats is the size Vetrail has been tested at, and the caps exist so nobody discovers the edge of the product in the middle of an audit response.
They are enforced when you add, never applied backwards. Anything already in your workspace keeps working exactly as it did, whatever the count says. A retired vendor frees its slot and keeps its assessment history.

Frequently asked
What happens when I reach 15 vendors?
Adding a sixteenth is blocked, with a message saying so. Nothing else changes: all fifteen
stay assessable, the cadence keeps running, reminders keep going out, and nothing is
deleted or degraded. Retiring a vendor frees its slot - it drops off the reassessment
schedule but keeps every assessment it ever answered.
What if I already have more than 15?
You keep them. The cap is checked when you add, not applied retroactively, so an account
that grew past the line under earlier wording is not cut back. You just cannot add more
until you are under it.
Is there a paid plan?
No. One free tier with published limits. A Growth plan was listed here until
21 September 2026 and was withdrawn before it billed anyone.
Can I add teammates?
Yes - up to five people including you, each an owner, an admin or a member. An owner has
full access, including the team. An admin sees everything and works on anything not
assigned to someone else, but cannot manage people. A member sees and works on only what is
assigned to them. This used to be the one thing Free did not include; it is now
included.
What is the AI allowance?
AI-assisted drafting and Blaze, the voice intake assistant, run against a shared daily
allowance per user. It is sized so ordinary use never touches it and a runaway loop cannot
bill us into a hole. If you hit it, it resets the next day, and every part of the product
that does not involve a model keeps working.
What does Vetrail do with vendor and assessment data?
It stays in your workspace, exportable as CSV, PDF or full JSON whenever you want it.
